• If you contact us by WhatsApp or email: your name, phone number or email address, business name and the information you share.

• If you become a client: we also process the information needed to deliver the work and invoice you.

• If we contact your business to offer our services: professional contact details your business publishes, for example on its Google listing or website. These may include its trading name, phone number, address, website and social media profiles.

• If you only browse this website: we have no forms that send us data and we use no cookies. The Contact helper prepares a message in your browser. We receive nothing until you send it through WhatsApp or email. Our hosting provider records technical data, such as your IP address, for security. We count visits with a tool that uses no cookies and does not identify individuals.

• To handle your enquiry and prepare a quote. Legal basis: taking steps at your request before entering into a contract.

• To provide and invoice the service if you are a client. Legal basis: our contract with you and compliance with legal obligations, such as tax requirements.

• To offer our services to businesses by telephone or post. Legal basis: our legitimate interest in introducing our services to other businesses. We only contact you by WhatsApp or email with your permission. You may object at any time and we will not contact you again.

• To keep the website secure and count visits in aggregate. Legal basis: our legitimate interest.

You do not have to provide your data. Without it, however, we cannot handle your enquiry or provide our service.

• Enquiries that do not become contracts: up to 12 months from the last contact.

• Businesses contacted about our services: up to 12 months from the last contact, or less if you ask us not to contact you again.

• Clients: throughout our working relationship and afterwards for the periods required by law, such as tax and commercial retention periods.

We do not sell or transfer your data to others for their own use. We use the following providers, which process data on our behalf or as controllers of their own services:

• Google, for Google Workspace email.

• WhatsApp, owned by Meta, if you choose to contact us there. WhatsApp processes your data under its own privacy policy.

• Cloudflare, for website hosting and visitor statistics without cookies.

• AI providers such as Anthropic, which we use to prepare messages, quotes and website previews.

• Our accounting adviser and invoicing software, if you are a client.

• The Spanish Tax Agency and other public authorities, when required by law.

Some providers may process data outside the European Economic Area. They do so using safeguards required by the GDPR, such as the EU-US Data Privacy Framework or standard contractual clauses approved by the European Commission.

You can request access, correction, deletion, restriction or portability of your data, or object to its use, by writing to victor@nivrensystems.com. If you believe we have mishandled your data, you can complain to the Spanish Data Protection Agency at www.aepd.es.

We do not make decisions about you based solely on automated processing.

If we change this policy, we will publish the new version here with its date.
